ProAcademy Rugby Safeguarding Policy for Players Under 18

1. Introduction

ProAcademy Rugby is committed to creating a safe, nurturing environment for all its players, especially those under 18. This safeguarding policy outlines our responsibilities and procedures to ensure the welfare and protection of young players.

2. Policy Aims

  • To provide a safe environment for young players.
  • To ensure all staff and volunteers understand their roles in safeguarding.
  • To establish clear procedures for reporting and managing concerns.
  • To promote the welfare and development of young players.

3. Responsibilities

3.1. Club Management

  • Ensure all safeguarding policies and procedures are in place and followed.
  • Appoint a Designated Safeguarding Officer (DSO).

3.2. Designated Safeguarding Officer (DSO)

  • Act as the main point of contact for safeguarding concerns.
  • Ensure all staff and volunteers are aware of and trained in safeguarding policies.
  • Liaise with local safeguarding authorities when necessary.

3.3. Coaches and Volunteers

  • Follow the safeguarding policy and procedures.
  • Report any concerns to the DSO.
  • Attend safeguarding training as required.

4. Code of Conduct

  • Treat all players with respect and dignity.
  • Maintain professional boundaries and avoid inappropriate physical contact.
  • Avoid being alone with a player whenever possible.
  • Ensure activities are appropriate for the age and development of the players.

5. Recruitment and Training

  • Conduct thorough background checks for all staff and volunteers.
  • Provide regular safeguarding training for all staff and volunteers.
  • Ensure staff understand their responsibilities and the procedures for reporting concerns.

6. Reporting and Responding to Concerns

6.1. Recognizing Concerns

  • Physical abuse
  • Emotional abuse
  • Sexual abuse
  • Neglect

6.2. Reporting Procedures

  • Report concerns immediately to the DSO.
  • The DSO will document and assess the concern.
  • If necessary, the DSO will refer the matter to local safeguarding authorities.

6.3. Responding to a Disclosure

  • Listen calmly and reassure the player.
  • Do not promise confidentiality—explain that you must report the concern.
  • Document the disclosure accurately and report it to the DSO immediately.

7. Confidentiality

  • All safeguarding concerns and records will be kept confidential and shared only with relevant authorities.

8. Monitoring and Review

  • The safeguarding policy will be reviewed annually by the DSO and club management.
  • Regular feedback will be sought from players, parents, and staff to improve safeguarding practices.
